Privacy Policy
The short version
We collect the financial and tax information needed to plan your taxes, use it only to run Kevra Tech for you, protect it with strong security, and never sell it or use it for advertising.
This policy explains how Kevra Tech [Fill in: legal name once the LLC is formed] ("Kevra Tech," "we") handles personal information when you use our website and software (the "Service"). It covers accountants and their staff, the individuals and business owners they invite to the client portal, and people who use Kevra Tech on their own.
When an accounting firm uses Kevra Tech for its clients, the firm decides what client information to enter and who can see it. We handle that information for the firm, as its service provider. The firm's own privacy notice also applies to its clients.
Information we collect
Most of what we hold is the planning information you or your accountant enter.
| Type | Examples | Where it comes from |
|---|---|---|
| Account details | Name, email, firm name, password (stored scrambled), two-step login settings | You, when you sign up |
| Tax and financial plan | Filing status, ages, dependents' names and ages, income, business results, deductions, credits, payments, plans and notes | You or your accountant |
| Uploaded documents | Bank statements, tax forms, reports | You or your accountant. These may contain account or Social Security numbers. |
| Connected accounting data | Monthly profit and loss, owner draws, tax payments | QuickBooks Online, only if you connect it |
| Activity records | Sign-ins, changes, uploads, downloads, with dates and times | Created automatically to protect your account |
| Technical details | IP address, browser type, error logs, and cookies needed to keep you signed in | Created automatically when you use the Service |
We don't use advertising or tracking cookies. The cookies we set are only what's needed to keep you signed in and to complete a QuickBooks connection.
How we use it
We use personal information only to provide the Service you asked for.
- Calculate tax estimates, payment schedules, penalties and planning scenarios
- Show your plan to the people you or your firm allow, including the client portal
- Pull in accounting data from services you connect
- Send account emails, such as sign-up confirmation, password resets and invitations

- Meet legal obligations
What we never do:
- sell or rent personal information
- use it for advertising, or share it with advertisers or data brokers
- use your financial information to build marketing profiles
- use tax return information for any purpose other than providing the Service, without consent where the law requires it
Who we share it with
We share personal information only with the people and companies below, and only as needed to run the Service.
| Who | Why | What they receive |
|---|---|---|
| Your accounting firm and its staff (firm accounts) | To plan your taxes | The client information the firm manages |
| You, in the client portal | So you can see your plan | Your own plan and documents, never the firm's private notes |
| Supabase | Database, logins and file storage | Stored data, kept encrypted |
| Vercel | Website hosting | Information passing through as pages load |
| Intuit (QuickBooks), only if you connect it | To read your books | Your approval and our access requests |
| Email provider [Fill in when chosen] | Account emails | Email addresses and message content |
| Payment processor [Fill in when billing starts] | Subscriptions | Billing details. Card numbers go directly to them, not to us. |
| Authorities | When the law requires, or to protect people or the Service | Only what is legally required |
Our service providers may use the information only to provide their services to us. If Kevra Tech is sold or reorganized, information may transfer to the new owner under this policy.
How we protect it and how long we keep it
We follow a written information security program based on the FTC Safeguards Rule and IRS Publication 4557.
- Encrypted connections (HTTPS) everywhere, and encryption of stored data
- Two-step login for accountants and staff, available to everyone
- Each firm and client can only reach their own information; access rules are enforced by the database itself
- Private document storage with download links that expire after 5 minutes
- QuickBooks access keys encrypted before they are stored
- An activity log that can't be edited or deleted, and automatic sign-out after 30 minutes of inactivity
No system is perfectly secure. If a breach affects your information, we will notify you, your firm and authorities as the law requires.
Keeping and deleting. We keep information while your account is active. After an account ends, we keep it for [Fill in: e.g. 90] days so you can return or download it, then delete it, along with backups on their normal schedule. We delete client information no later than 2 years after it was last used to provide the Service, unless the law requires longer. Activity records are kept for [Fill in: e.g. 6 years] for security.

You can see, correct, download or delete your information.
